Position Summary: The Executive Assistant provides administrative support to various VP and Director level employees and provides project and team support in Waltham as needed.
Duties and Responsibilities:
Performs advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skills and knowledge of organizational policies and practices
Provides administrative support to VPs and Directors which includes calendar management, answering phones, setting up and planning meetings, coordinating travel arrangements
Organize and schedule on-site and off-site meetings and conferences, ensuring appropriate facilities, documentation, and equipment are available.
Coordinate with other executive departments for meetings and/or projects
Assists with executive level presentations – PowerPoint
Assists with mid-level analytical reports in Excel
Prepares materials for regular meetings, staff meetings and functional meetings
Handle phone messages and draft correspondence and communicate to internal and external audiences and individuals on behalf of VPs and Directors. Internal mail distribution and supply ordering and maintenance for department.
Liaison with IT for office equipment
Content manager for the iConnect website for business units or functions
Compile information and prepare reports on assigned projects.
Effectively manage and prioritize multiple projects and tasks to meet deadlines and achieve identified goals and interface with all levels of management and stakeholders both internally and externally.
Track recurring projects and events and business matters, paying special attention to scheduling event participants, arranging logistical support, and providing timely reminders.
Minimum Requirements/Qualifications:
Exceptional team orientation ability to support ongoing and new initiatives as well as handle multiple projects simultaneously
Strong creativity, resourcefulness, and detail-orientation and ability to effectively operate in a fast-paced environment
Superior oral, presentation, and written communication skills
Must be able to handle confidential material with high level of professionalism
Ability to learn procedures, project tasks, and plans quickly.
Non-Negotiable Hiring Criteria:
BA/BS degree or equivalent experience
2-5 years of administrative or coordinator experience in a corporate environment
Proficiency in MS Word, Excel, Outlook and PowerPoint
